The Free plan gives you 3 projects, 3 whiteboards, and 100 Knowledge Shares. Kanban and list task management, Gantt charts, burndown charts, gamification, and SSO login are all included. Liking templates and publishing to the Marketplace are Lite plan and above features.

No credit card is required. You will never be asked for payment information to use the Free plan. Payment details are only needed when you decide to upgrade to a paid plan.

On monthly billing, there are 5 plans: Free JPY 0 / Lite JPY 500 / Standard JPY 800 / Plus JPY 1,000 / Pro JPY 1,500. Choosing annual billing saves you 15% — Lite drops to JPY 425/month and Pro to JPY 1,275/month.

The main differences are the number of projects and whiteboards (Free 3 / Lite 30 / Standard 50 / Plus 100 / Pro unlimited), Knowledge Shares (100 / 300 / 500 / 1,000 / unlimited), team members (paid plans: 3 / 5 / 10 / unlimited), and access to Marketplace features. The monthly like allowance and the points earned per like also increase with higher plans.

Annual billing saves you 15%. For example, the Standard plan is JPY 800/month on monthly billing, but JPY 680/month (JPY 8,160/year) on annual billing. You can always start monthly and switch to annual once you decide to continue.

We recommend starting with the Free plan to get a feel for the tool. If you find yourself needing more than 3 projects, upgrade to Lite (JPY 500/month). If you want to publish templates and earn points seriously, consider Standard or above for the larger like allowance and higher point multipliers.

Yes, the Free plan has no expiration date — you can use it for free forever. There is no trial period that automatically converts to a paid subscription.

Yes, you can upgrade or downgrade at any time. Feel free to switch plans whenever your usage needs change.

Yes, you can cancel a paid plan at any time. After cancellation, your account continues as a Free plan.

No. After cancelling, you retain access to paid plan features until the end of your already-paid billing period. After that, your account switches to the Free plan and your account and data remain accessible.

No, existing data is never automatically deleted. Limits such as the project count apply to new creations only — if you exceed the limit, you simply cannot create new items until you free up space, but everything you have already created stays intact.

Paid plans are upgraded through Stripe's online payment system. For details on accepted payment methods, please check the pricing page or the upgrade screen.

Yes. Through the Stripe customer portal, you can view and download past invoices and update your payment method. You can access it from the subscription section in your account settings.

Yes. Stripe handles currency conversion, so users outside Japan can subscribe to a paid plan in their local currency.

The design philosophies differ. Notion excels at document and database management, while WeProcess specialises in integrating visual thinking (whiteboard × mind map) with execution (Kanban). If your work is primarily document-centric, Notion may suit you better; if you value a "think first, then act" flow, WeProcess is the stronger fit.

Trello is a Kanban-focused task management tool with no whiteboard or mind map for visual thinking. WeProcess covers the divergent thinking and structuring stage that happens before tasks are even created, and lets you convert mind map nodes directly into tasks.

Dedicated mind map tools excel at "drawing" but require you to copy content into a separate tool to manage execution. WeProcess lets you convert map nodes into Kanban tasks with one click, so the structure you draw flows directly into progress tracking.

FigJam is a powerful whiteboard for design-team brainstorming, but it lacks task management, Gantt charts, and template monetisation. WeProcess covers all four stages — ideation, execution, sharing, and monetisation — within a single platform.

Backlog is a well-established Japanese issue-tracking tool with proven Git integration and Wiki features for development teams. WeProcess is focused on connecting ideation (mind maps and whiteboards) to execution (Kanban and Gantt) in one screen, rather than code management workflows. Using Backlog for development operations and WeProcess for project conception is a valid combination.

ClickUp is an all-in-one platform aggregating tasks, documents, goals, and dashboards, known for its breadth and customisability. WeProcess prioritises a focused experience over feature volume — starting from visual thinking (mind maps and whiteboards) and flowing directly into execution.

Whimsical is a lightweight visual collaboration tool renowned for its ease of creating flowcharts and wireframes. WeProcess offers similar diagramming and ideation capabilities, and additionally lets you convert those structures into Kanban tasks and carry them through to sharing and template publishing.

Obsidian is a local-first knowledge management tool built on Markdown files, with bidirectional links for networked thinking. WeProcess is cloud-based and designed to take ideas from visual exploration directly into task execution — better suited to "making ideas happen" than to building a long-term knowledge archive.

Milanote is ideal for gathering notes, images, and links on a free-form canvas to build mood boards and early-stage concepts. WeProcess also supports open-canvas concept organisation, but goes further — from ideation all the way to Kanban execution management and template publishing — so your ideas don't stop at the planning stage.

Absolutely. We recommend starting with a partial adoption — for example, using WeProcess only for the ideation phase, or only for Knowledge Share slide publishing. Once you feel the value, you can gradually expand. The board embed feature also lets you connect WeProcess to your existing website.

That feeling is a classic sunk cost — the time and money you've already spent won't come back regardless of which tool you continue with. The only question worth asking is: "going forward, which tool turns my thinking into action faster?" WeProcess lets you start for free alongside your current tools, and its CSV import means you can bring existing tasks over without a forced cutover.

You can use the CSV bulk import (available on all plans) to bring tasks from Excel, spreadsheets, or other tools directly into WeProcess. There is no dedicated automatic migration tool, so we recommend starting a new project in WeProcess and migrating existing data gradually.

CSV import (bulk task import) is available on all plans. Save your task list from Excel or a spreadsheet as a CSV, then upload it via the "Bulk Import Tasks" button on the Kanban board — a table preview lets you map each column to fields like title and status before importing. CSV export is currently under development (Coming Soon).

Yes. The per-import row limit is: Free 100 rows / Lite 500 rows / Standard 1,000 rows / Plus 2,500 rows / Pro 10,000 rows. There is no monthly cumulative limit — only the per-import row count is capped.

External service integrations (such as Slack) and a public API are not yet available, but are planned for future releases. For login, email/password and Google SSO are supported.

Only basic information such as your email address is required to register — no credit card needed. SSO login is also available, so you can get started quickly using an existing account.

Yes, Google SSO login is supported on all plans including Free. You can sign in securely with your existing Google account without creating a new password.

Yes. WeProcess supports 12 languages, so each member can use the interface in their own language. For example, a board created in Japanese can be shared with English-speaking teammates — global collaboration is fully supported.

Yes, multiple safeguards are in place. All connections are encrypted with SSL/TLS, sensitive information such as email addresses is encrypted at the database level, and uploaded files are malware-scanned before processing. Security headers including Content Security Policy (CSP) are applied, and our Privacy Policy is drafted with GDPR compliance in mind.

Task and board text data is managed in a database on a server located in Japan, with automatic daily backups also stored in an offsite location separate from the primary server (restore testing has been completed). Uploaded files (images, slides, etc.) are stored in Cloudflare's object storage (R2), and the storage region is not fixed to Japan. A bulk personal data export feature is not currently available (CSV export is Coming Soon).

Yes. The "Login Security" widget on the home screen displays your recent login history along with IP addresses. Accesses that differ from your usual login pattern are automatically flagged as anomalies and shown as warnings, so you can quickly spot any unauthorised logins.

Deleting your account permanently removes your boards, tasks, uploaded files, and all associated data. This action cannot be undone, so if you have shared projects with other members, please check the impact on them before proceeding.

Yes, commercial use is permitted — including project management for business, client work organisation, and publishing presentation materials. Please review the Terms of Service for full details.

Yes, both are welcome. WeProcess is designed primarily for individual developers, freelancers, and small to mid-sized teams. On paid plans, you can add team members for task assignment and collaborative work.

You can start intuitively from day one — just enter a project name and a whiteboard and task board are set up automatically. Features like auto-generating a mind map from a plain text outline mean you don't need any specialist knowledge to get value immediately.

From registration to first use takes just a few minutes. No installation is needed — create an account in your browser and your first project is ready to go.

Team members can be added on paid plans, with the following limits: Lite 3 / Standard 5 / Plus 10 / Pro unlimited (Free plan does not include team members). Added members can be assigned to tasks within projects and participate in collaborative work.

An AI assistant feature is not currently available. WeProcess is designed to be a place where human thinking — made more valuable in the age of AI — can be visualised and accumulated. Any AI integration will be considered carefully as the landscape evolves.

It is already available. Accumulated points can be used to discount your subscription or cashed out in amounts of 1,000 pt or more (1 pt = JPY 1). Cash-out is handled through your account settings under the "Points & Cash-out" tab, via a Stripe-linked flow: connect → apply → approval → automatic transfer. The annual cash-out limit is 49,999 pt.

Yes. The Marketplace is in its growth phase, and the template library expands as users publish their own work. True to WeProcess's "standing on the shoulders of giants" philosophy, each piece of shared knowledge becomes the foundation for the next person's thinking — and that output in turn becomes a new template. Points from template likes accumulate as long as your template is published, so the earlier you publish, the sooner that compounding effect begins.

CSV export is currently in development, and integrations with external services such as Slack are planned for the future. The latest development updates and new feature releases are announced on the in-app Notifications page and on our official X account.

WeProcess is a web app that requires an internet connection. Some static assets such as images are cached by the browser, but editing and saving boards and tasks requires an online connection — full offline editing is not supported.

From the dashboard, select New Project and enter a name — that's all it takes. A whiteboard and task board are set up automatically, so you can start thinking and managing tasks right away.

A whiteboard and a task board (kanban) are provided as a paired set automatically. Within a single project, you can move back and forth between "ideation (board)" and "execution (tasks)" seamlessly.

Yes. Create frames on the whiteboard and organize content within them; you can then advance through frames one by one, just like a presentation. Share the public URL directly, and on oEmbed-compatible services such as note.com, pasting the URL embeds the board automatically.

Upload a slide file via Knowledge Share and a viewing page is created for it automatically. Share the generated public URL and your audience can browse the slides just like on Speaker Deck.

Open the sharing settings for an uploaded slide to retrieve the URL. You can use it directly for social media announcements, portfolio listings, or post-event slide sharing.

Yes. The presentation analytics screen shows total views, unique viewers, average viewing time, likes, and a breakdown by device. You can filter the data by time period — 7 days, 30 days, or 90 days.

The limits are: Free 100 / Lite 300 / Standard 500 / Plus 1,000 / Pro unlimited. Even on the free plan you can publish up to 100 items, so starting with Free and upgrading as your library grows is a perfectly sensible approach.

Browse the marketplace, pick a template you like, and import it as your own project. Because the thinking framework and project structure are already in place, you can get started faster than building from scratch.

You can publish a project you have created to the marketplace as a template (available on Lite plan and above). Once published, other users can use it, and you earn points when they give it a like.

Only the content you explicitly publish as a template is visible — no other projects or personal data are exposed. That said, whatever you write in the template is published as-is, so always review it before publishing to ensure it contains no names, figures, or confidential details. Remove or replace anything sensitive before you go live. (This applies to sharing on any platform, not just WeProcess.) The value of a template lies in its structural framework; publishing just the skeleton — without any confidential content — is the safest and most useful approach.

Yes, a published template uses one Knowledge Share slot (publish slot). Additionally, the source project remains in your account, so it continues to occupy a project slot. This is an intentional design choice to discourage low-quality mass publishing and maintain the overall quality of the marketplace.

Edit the source project that the template is based on to update its content. You can edit even while the template is live, and changes are reflected for anyone who imports the template afterward.

The template is removed from the marketplace and the Knowledge Share slot (publish slot) it was using is freed up. The source project remains in your account, so the project slot it occupies stays in use.

Unpublishing the template restores the Knowledge Share slot (publish slot) immediately. If you also delete the underlying project, the project slot is recovered as well, making it available for new projects.

You can like any template from its marketplace page (available on Lite plan and above). Points are sent to the template author, and you also receive a return bonus (like return) for giving the like.

There is a monthly limit by plan: Lite 3 / Standard 5 / Plus 7 / Pro 10. Likes are not available on the Free plan. Because the number is limited, each like genuinely signals that you found real value in a template.

It is the points you receive yourself when you give a like to another user's template. The return amount increases with higher plans: Lite 1 pt / Standard 2 pt / Plus 3 pt / Pro 4 pt. The act of recognizing quality work is rewarded in return.

Like impact is the number of points delivered to the template author when you give a like. The higher your plan, the greater the impact: Lite 1 pt / Standard 3 pt / Plus 5 pt / Pro 7 pt.

You can view your current balance in the "Points & Cashout" tab in account settings, or on the points dashboard. It reflects all points earned from likes received on your templates and like returns.

Points can be used for subscription fee discounts and for cash cashout at 1,000 pt or more (1 pt = JPY 1). To cash out, go to the "Points & Cashout" tab in account settings and follow the four steps: link Stripe → submit request → admin approval → automatic transfer. The annual cashout cap is 49,999 pt.

XP accumulates through everyday activities on WeProcess such as completing tasks and creating mind maps, causing your level to rise. Because your growth becomes visible the more you use it, managing tasks itself becomes genuinely engaging.

It is a 20-tier rank system that advances as your activity accumulates. Ranks are assigned from Rose Quartz through Cosmic Diamond based on your level progression (1–400), serving as long-term milestones that express your journey as a gem.

Your work style and characteristics are visualized as a radar chart based on your task patterns and activity history. It gives you an objective way to reflect on what kind of worker you are.

Use the language switcher menu on screen to change freely among 12 languages. The setting is per account, so each team member can use the UI in their own language while working on the same board.

Use the password reset link on the login screen to send a reset email to your registered address. If you log in via Google, your password is managed on the Google side.

You have two options: delete a project you no longer need to free up a slot, or upgrade to a higher plan to increase the limit. Upgrading to Lite (JPY 500/month) alone expands your limit from 3 to 30 projects.
