From Acceptance to Enrollment: Deadlines, Deposits and Decisions
Beginner | 1 whiteboard page · Task board: 5 columns (5 parent tasks, 10 subtasks)
Beginner: No technical terms. Just answer the whiteboard's questions, following the examples, and it takes shape.
An acceptance-to-enrollment template, opened the moment results are out, for a student and family who must lock in a school without missing a deposit deadline, a form or the window to decline. The whiteboard holds your chosen school, the payment deadlines and the offers you will decline, the six steps from results day to your first day, a tracker of deadline, amount, destination and status per item, and a matrix for what to buy. The task board splits into results, deposit, forms, declines and new-life prep, and any card that costs money must pass through Paid before it reaches Done.

Acceptance to Enrollment Board
How to use: (1) Declare your school, payment deadlines and the offers you will decline on the whiteboard → (2) Move any card that costs money through Paid before Done on the task board
Your school, payment deadlines, offers to decline and aid to use
- First choice school Write the school you have decided on. Copy across the enrollment deadline stated in the offer and the list of documents it asks for.
- Payment deadline rules Pay three days before the stated date and photograph the proof. If a deadline lands on a closed day, move earlier and allow for clearing time.
- Offers you will decline Tell every other school before their next payment deadline. Leave it and you can pay twice, and the window to decline closes as well.
- Aid and support to use List the grants, loans and support schemes you plan to apply for, with where and when. They tend to close in the same week as enrollment, so prepare both together.
Six steps from results day to your first day

- Decline rest Tell the other schools before their next deadline, in the way each school requires
- Housing Set limits on travel time and cost, then test the route and confirm
- First day Check the opening and registration dates and get your kit ready

Sorting what to buy before you start
Vertical axis: How soon you need it (low to high) / Horizontal axis: Cost (low to high)
- Buy this week Cheap but unavoidable items - ID photos, stationery, certified copies. Put them on one shopping list and clear it in a single trip
- Budget for it now Costly items you truly need by day one. Agree the month you pay and who covers what
- Add once you start Nice to have but not blocking. Buy it after classes show you actually need it
- Skip for this term Expensive with no clear use yet. Hold the decision until term ends and revisit if needed
Deadline rules
- Pay three days before the due date
- Move a closed-day deadline earlier
- Keep proof of every payment
Easy to miss
- Aid applications close with the forms
- Health checks and insurance papers
- Declines have their own cut-off
What you learned
- Week 1: two offers shared one deadline
- Week 2: the transfer took two days to clear
- Week 3: testing the commute changed my choice

Log every result
Put every result and every school deadline on one sheet, then name a single first choice. Without that, you cannot judge which deposit to pay.
List all deadlines
Copy the deposit and document deadlines from each offer letter and sort them by date, school by school.
Shortlist top offers
Compare offers on course content, travel time and cost, then agree a first choice and a runner-up with your family.
Pay the deposit
Pay the enrollment deposit for your first choice three days before the deadline and keep the proof. A single day late can void the offer.
Check payment method
Confirm whether payment goes by transfer, in person or through a portal, and how many days it takes to clear.
Save the receipt
Store the transfer record or confirmation email in two places so you can attach it to the enrollment forms.
File enrollment docs
Gather and complete every enrollment form, then send it by the stated method before the deadline. Track it until it arrives.
Gather the documents
Turn certificates, photos and forms into a checklist and order first whatever takes days to issue.
Fill in and submit
Have a family member recheck for blanks and signatures, then submit by the stated method and keep the tracking number.
Decline other offers
Tell every school you are not attending before their next payment deadline arrives. Silence can cost you a second deposit.
Check decline dates
Look up each school's decline cut-off and method, and put the earliest one at the top of the board.
Send decline notice
Tell them by the method the school states - portal, email or phone - then submit the decline form and record the date and who you spoke to.
Prep for new life
Settle housing, the daily commute and the things you must buy so daily life works from your first day.
Fix housing plan
Set a ceiling for travel time and cost first, then view places that fit before signing anything.
Test the commute
Travel the route once at the hour you would actually leave and check the time and the transfers.
