AI Information Boundary Board for Beginners: Share, Redact First, or Never Share

People unsure what to type into an AI chat, or who paste in anything without thinking, use this beginner template to sort information into 3 zones - share, redact first, or never share. The whiteboard lines up 3 share-or-not frames, a 5-by-3 quick-reference table of information types, 5 steps for deciding when unsure, 3 frames of tricky examples, and a frame for your own 3 rules. The task board has 4 columns - to review, checking the rules, sorted into a zone, and added to my rules - with 4 parent tasks and 12 subtasks covering checking the rules, sorting information, practicing redaction, and setting your own rules. Deciding what you may share works in order - first check your workplace or school rules and the service terms, then look at the type of information to sort it into a zone, and only redact names and numbers for what you may share after redacting. Keep one line fixed no matter what - secrets and other people's personal information are never shared, even redacted.

Ground rule - your workplace and school rules and the service terms come first Information anyone can see, and thoughts inside your own head e.g. A product description on your company's public page e.g. Asking for a sanity check on your own plan, unrelated to work Only text with names, company names, dates, and amounts removed and turned into a general question Never paste the original text - rewrite it in your own words first e.g. An apology to a client turns into "a template for a late-delivery apology" Ground rule - if the rules and terms forbid it, don't share it even redacted Secrets and other people's personal information - never share, even redacted e.g. Confidential documents, unpublished sales figures, passwords or codes e.g. A friend's problem, a coworker's review, a customer's contact details If you can't tell, don't share it. Credentials Passwords, internal system keys, authentication codes Never share No room to redact.Never copy it anywhere else. 1. Check the rulesCheck your workplace or school rules and the service terms (such as whether input is used for training) first. If they say it's forbidden, stop here. e.g. Check whether internal rules forbid entering customer information. 2. Check the typeCheck which of the 5 types on the quick-reference table (board 4) the text falls into. One text often mixes types, so list them separately. e.g. Meeting notes mix internal documents and other people's information. 3. Assign a zoneAssign each type to share, redact first, or never share (board 1-3). If even part of it is information you must never share, remove that part before judging the rest. e.g. For meeting notes, remove the customer's name and amount, then put only the remaining question about how to proceed… 4. Try generalizing itFor the part you may redact first, remove names, company names, dates, and amounts, then rewrite it as a general question. If a reread doesn't reveal whose story it is, you may share it. e.g. Rewrite it as "Show me a template for a late-delivery apology." 5. Have the courage to stopIf a reread still reveals whose story it is, or doubt remains even after generalizing, don't share it. Writing it yourself without AI is also a valid choice. e.g. Talk to your manager or a teacher before deciding on a case you're unsure about. Don't paste it as is. Check the rules and terms first Redact proper nouns, numbers, and dates, and ask only about the structure e.g. Generalize it as "show me the structure of an external report" If you need a summary, use text you've already redacted yourself Someone else's personal information. Never share it, even redacted Don't paste the conversation's contents. Removing the name isn't enough e.g. Ask only in general terms how to support someone who's feeling down Only the person themselves may share their own story, not you in their place Your own thoughts and feelings - you may share it But if someone else's name, workplace, or health comes up, remove that part e.g. "Sum up today's reflection in 3 lines" is fine to share Checking your storage and training settings once brings peace of mind Rule 1: Rules and terms come firste.g. Check your workplace's rules and the service terms first, and don't share it if they forbid it. If they change, update this board too. Rule 2: Redact names and numberse.g. Remove names, company names, school names, dates, and amounts before sharing. If removing them makes the text meaningless, don't share it at all. Rule 3: When unsure, don't sharee.g. If you're still unsure after 5 seconds, don't share it - write it yourself or ask someone instead. Secrets and other people's personal information are never shared, even redacted. Decision date and review dateDecided on: ____ / Next review: ____e.g. Check for changes to terms and rules on the 1st of every month.
