AI Opportunity Finder Board for Beginners: List a Day's Tasks and Sort What AI Can Take On

People who hear AI is useful but don't know where to use it at work use this beginner-friendly template to list a day's tasks and find ones AI can take on. The whiteboard holds seven frames - a matrix that sorts tasks by routineness and time spent, three frames for telling delegate, collaborate, and do-it-yourself apart, a 4x4 task list table, a 3-step As-Is, gap, To-Be gap analysis, and a frame for the first three tasks to try and their deadline. The task board runs five columns from listing to deciding what sticks, with 4 parent tasks - list, sort, try, review - and 3 subtasks each (16 total), all not started. The way to find where AI helps is to write out every task in a single day instead of just thinking it through, then try the tasks that are always done the same way and take the most time first. It targets one person's day rather than a whole team's inventory, so it suits anyone who wants to try AI on their own first.

Do it yourself What you learned ... 縦軸: Routineness (... e.g. clocking in, template chat replies. Adding AI is more hassle than it's worth, so keep doing it yourself. Just consider saving a canned reply. e.g. writing the daily report, summarizing meeting notes. This is the top-priority "delegate to AI" candidate. Pick your first three to try from here, and add from the bottom right if you need more. e.g. on-the-spot decisions, a quick verbal check-in. Explaining it to AI takes longer than just doing it, so do it yourself. Don't force AI in here. e.g. drafting a proposal, investigating a cause. Good for "collaborate" - have AI draft or brainstorm and you refine it. e.g. turn bullet points into daily report text e.g. summarize long meeting notes into five lines How to tell: the steps are fixed, and you'd notice right away if it went wrong Check whether the input (bullet points, source text) is available every time e.g. have AI draft a proposal email, then fix it e.g. have AI list 10 ideas for a plan, narrow them to 2 How to tell: the goal is set, but there isn't one right answer Always reread it yourself before sending it out e.g. deciding a quote amount, telling someone their review face to face e.g. pasting confidential material as-is to ask for advice How to tell: work you must decide on your own responsibility, information you must not hand over If unsure, check your workplace's AI usage rules first Task Time per day Category Try order Task 1 e.g. write the daily report e.g. 20 min Delegate 1 Task 2 e.g. summarize meeting notes e.g. 30 min Delegate 2 Task 3 e.g. draft a proposal email e.g. 40 min Collaborate 3 Task 4 e.g. decide a quote amount e.g. 15 min Do it yourself Not trying (6) Gap Analysis ... As-Is (current method) e.g. Writing the daily report by hand every day takes 20 minutes while recalling what was done. The format is the same every time. Gap (what's missing) e.g. The format is the same every time, yet it's all done by hand. There's no bullet-point record of today's work to hand to AI. To-Be (after using AI) e.g. Hand the day's bullet points to AI to make a draft, then spend only 5 minutes rereading and fixing it. Saves 15 minutes a day.
