Excel Gantt to Board Migration for Beginners: Copy Task, Owner, Start, End

Beginners whose Excel Gantt breaks on every update, or who struggle to share and version it, use this template to copy task, owner, start, end, and progress onto a board. The whiteboard lines up the 5 migration steps, 3 frames that map Excel columns to board spots, 3 frames pairing Excel pain points with the board's fix, a copied table example (4 rows x 4 columns), and a frame for update and sharing rules. The task board has 4 columns from getting ready to in use, with 4 parent tasks - auditing the Gantt, copying rows, reordering and verifying, and locking in update rules - each with 3 subtasks (16 total), all starting in Ready to move. To migrate an Excel Gantt chart, first confirm what each column means, copy tasks to cards one row at a time, add the owner and dates, turn progress into a column position, and finally decide who updates it and when. It suits anyone taking over a spreadsheet Gantt chart, and teams switching to shared progress tracking for the first time.

Insights and tips Step 1Check what the columns meanLook at the Excel header row and decide which column is the task name, owner, start date, end date, and progress. Step 2Copy rows one by oneOne row equals one card. Turn each task name into a card title from top to bottom, without skipping any. Step 3Add owner and datesPut the owner, start date, and end date on the card. Leave blanks as blanks, and decide who will fill them in. Step 4Turn progress into a columnShow progress by which column the card sits in, not by a percentage. 0% goes far left, 100% goes far right. Step 5Write your update rulesDecide who updates the card and when, and write it in the frame (board 9). Skip this and updates stall again after the move. e.g. turn "Finalize requirements" straight into a card title Shorten long names so the key point comes first Split big tasks into child cards when you copy them Skip blank rows and subtotal rows e.g. owner = Sato, start = 4/1, end = 4/12 If several people share a task, name one lead and write that Leave a blank cell blank on the card too Write every date the same way, month/day e.g. 0% progress = Ready to move, 100% = In use Drop the number and show progress by column position When unsure, place it one column to the left Don't move a card to the last column before it's checked Problem: inserting a row shifts formulas and formatting Fix: adding one card never breaks the rest of the layout Sort by date again when you insert a task partway through Problem: files like final_v2_fixed.xlsx keep multiplying Fix: everyone opens and edits the same board directly Decide the Excel sunset date in (board 9) Problem: only the coordinator updates it, so it falls behind Fix: each card's owner moves their own card The coordinator only checks for anything missed Owner Start End Progress (column) Finalize requirem... e.g. Sato 4/1 4/5 In use Design the screen e.g. Suzuki 4/6 4/12 Checking content Build and fix e.g. Tanaka 4/15 4/26 Copying rows Review and launch ____ 5/7 5/10 Ready to move Who updates ite.g. each card's owner moves it themselves. ____ covers for them while they're out. Use it for reference only; make all edits on the board.
